How to Design a Branded Client Welcome Packet for Your Creative Business

Sending your client a branded welcome packet happens after your client has officially completed your onboarding process. The contract is signed and the deposit invoice is paid, they are now officially a client! Before you pop the bubbly or put your head down to start working on their service or deliverables, it’s time to welcome your client into your business with a branded client welcome packet!

Your branded client welcome packet can be delivered to your client digitally or in print! Deciding which is better for your business will depend on your clientele, your price-point, and your business goals. Sending your client a welcome packet is an amazing way to set the expectation and establish trust for the work that you will complete together. It’s also the perfect time to put your branding to good use!

If you opt to mail or hand-deliver your client welcome packet, this can be done in the same shipment as your client welcome gift. That means you have the opportunity to create a fully branded welcome experience for your client!  Your client will be in possession of a branded gift box, branded thank you cards, and a branded folder that will house all of the documents for their welcome packet!

Here is a list of what to include in your client welcome packet:

  • Branded folder

The folder will be the first touchpoint of your client’s welcome packet and will serve to house all of their documents.

  • Welcome letter or thank you card

Thank your client for their trust in you and express your gratitude at beginning your work together! A handwritten thank you is amazing and shows your client that you went above and beyond.

  • How to get a hold of you/office hours
It’s important to set boundaries with your client, such as not using social media as a means of getting in touch with you!  You should be clear on how they should reach out to you (email, voice apps?) what your working hours are, and when they can expect a reply to their inquiry.

  • When they should expect to hear from you next

What is the first step in the process and when will you be reaching out? Let your client know ahead of time.

  • Next steps of your process

Provide your client with a guide, timeline, or breakdown of your process and your time together. Be very clear on the order and timeline in which things will occur after that first initial contact!

  • Payment due dates

A list of dates, or timeline of when your clients next payments and final payment are due.

  • Outfit inspiration (photographers)

This one is for the photographers! Give your client some insight on which types of outfits will work best for their shoot. Be clear on how darker colors vs lighter colors will reflect in their images and how their chosen photo location will work for or against their outfit choices

  • How to prepare for their photo sessions with you (photographers)

Photographers again! What does your client need to know and expect? Will they have time for an outfit change? First, how will you work with them to ease their nerves during their shoot? Next, how will meet and exceed their expectations while they are in front of the camera? Use this document to put them at ease!

  • Make it fun!

Your client welcome experience should match the level of passion and excitement that you bring to your business. If your brand is fun, bubbly, and outgoing – include some glitter or confetti in their welcome packet.
